This article is about Deliveries in Archive Projects. In Production Projects, see Sending a Box.
In Archive Projects, you send a Delivery from the Deliveries page. A Delivery can contain content from the Works of the Project. Sending a Delivery takes four steps.
Power Guests can prepare a Delivery, but they need the approval of a Manager before the Delivery is sent. See Deliveries prepared by a Power Guest.
Create a Delivery
Open the Outgoing tab. Click the add button (+) on the toolbar of the left panel. Enter a name (up to 64 characters) and click Create. The new Delivery has the Draft status.
Check the content
Open the Content tab of the Delivery to see its files. To remove all the files, click the options button (⋮) on the toolbar and choose Remove all items.
Add the recipients
Open the Recipients tab and click the add button (+). In the Add Recipients dialog, do these actions:
- Type one or more email addresses. Use Tab or Enter to confirm each address.
- Move the slider to choose the expiration (the number of days is shown above the slider).
- If needed, write a Message for the recipients.
Click Add.
Send the Delivery
As a Manager or an Operator, click Send Delivery. The button is not available until the Delivery has at least one recipient. A Power Guest sees Request delivery approval here: see Deliveries prepared by a Power Guest.
After Mnemonica sends the Delivery, it shows the Approved status. The Recipients tab shows when each recipient got the Delivery (Delivered at) and when they downloaded it (Downloaded at).
Deliveries prepared by a Power Guest
A Power Guest creates the Delivery, checks the content and adds the recipients as described above. In the detail panel, the Power Guest sees Request delivery approval in place of Send Delivery. The Power Guest clicks it to ask a Manager to approve the Delivery.
The Delivery then shows the Pending status. The Log tab lists the status changes: Draft (Created), then Pending (Updated), with the date and the user.
A Manager receives the notification You have a new delivery approval request from the name of the Power Guest, with the name of the Delivery. The Delivery is in the Outgoing tab of the Manager, with the Pending status. In the detail panel, the Manager can click one of these buttons:
- Approve Delivery
- Request changes
- Reject Delivery
Before the answer, the Manager can open the Recipients, Content and Log tabs to check the Delivery.
When the Power Guest asks for the approval, the Log tab adds a Pending line. If the Power Guest wrote a message, the message icon at the end of the line shows it.
Approve Delivery
Click Approve Delivery. In the Approve Delivery? dialog, click Approve. Mnemonica sends the Delivery to the recipients at once. The Delivery shows the Approved status, and Send Delivery is not available. The Log tab adds an Approved (Closed) line with the name of the Manager.
The recipients get the Delivery in their Incoming list. The sender of the Delivery is the Power Guest, not the Manager.
The Power Guest gets two notifications: A new Delivery sent to <recipient name> and Delivery request for <Delivery name> approved by <Manager name>.
Request changes
Click Request changes. In the Request changes dialog, write a Message for the Power Guest and click Request. The Delivery goes back to the Draft status. The Log tab adds a Draft (Updated) line with the name of the Manager. The message icon at the end of the line shows the message, with a button to copy it.
The Power Guest gets the notification <Manager name> requested changes to delivery <Delivery name>, with a Read message... button. The button shows the message of the Manager and a button to copy it.
The Power Guest changes the Delivery and asks for the approval again.
Reject Delivery
Click Reject Delivery. In the Reject Delivery dialog, write a Message and click Reject. The Delivery shows the Rejected status. The Log tab adds a Rejected (Closed) line with the name of the Manager. The message icon at the end of the line shows the message. Send Delivery is not available for a rejected Delivery.
The Power Guest gets the notification <Manager name> rejected your delivery request for <Delivery name>. The Delivery shows the Rejected status, and the Power Guest cannot ask for the approval again.
