You join a Mnemonica Project because someone invites you, or you invite people to a Project of your own. What each person can do there depends on their role.
Each person has a role in each Project they are part of. You can be a Manager in one Project and a Guest in another. Company Administrators are different: their role belongs to the Company, so it does not need a Project (read Company roles). The roles are different in Production and Archive Projects. This article tells you which role to give each person, and what you can do with your own role.
Roles in Production Projects
A Production Project has two kinds of people:
- Team Members work on the Project and see all its Screening Rooms. There are two Team Member roles:
- Managers manage the content and the people.
- Operators manage the content only. They do not see Guests management, so they do not see the Guests or their viewing stats.
- Guests watch and comment in the Rooms they are invited to. A Manager can put Guests into Groups to invite them together.
| Permission | Manager | Operator | Guest |
|---|---|---|---|
| Access Screening Rooms | All | All | Only the Rooms they are invited to |
| Manage Screening Rooms, Days and Bins | Yes | Yes | No |
| Manage media | Yes | Yes | In Collaborative Rooms only |
| Comment on media | If Comments access is Public | If Comments access is Public | If Comments access is Public or Private |
| Receive Boxes | Yes | Yes | Yes |
| Send Boxes | Yes | Yes | Only if Boxes are enabled, and only to users within the Project |
| Manage Team Members | Yes | No | No |
| Guests management: invite Guests and manage Groups | Yes | No | No |
| See the viewing stats of Guests | Yes | No | No |
Boxes for Guests
Boxes are optional for Guests. A Guest gets the Boxes page in one of two ways:
- A Manager turns on Enable Boxes in the invitation window. The Guest can then send Boxes to the people who are already in the Project.
- Someone sends a Box to the Guest. Mnemonica then turns on Boxes for that Guest.
Collaborative Rooms
Inside a Collaborative Room, Guests act as Team Members.
Roles in Archive Projects
An Archive Project has two kinds of people:
-
Team Members work on the Project and access all its resources: Works, the Gallery and every Screening Room. There are two Team Member roles:
- Managers manage the content and the people.
- Operators manage the content only. They cannot invite Guests.
-
Guests access only the resources they are invited to. There are two Guest roles, and the invitation window shows both:
- Guest reads and modifies content in Works. This is the typical role of a post facility. In Screening Rooms, a Guest watches the content but cannot modify it. The Guest can comment unless the Room's Comments access is Disabled.
- Power Guest reads content in Works but cannot modify it. This role is for a sales agent or a distributor: a Power Guest manages Screening Rooms and prepares Deliveries.
A Power Guest is invited to specific Works and operates only on those. Power Guests do not see the work of other Power Guests, and their Screening Rooms are not visible to each other.
| Permission | Manager | Operator | Power Guest | Guest |
|---|---|---|---|---|
| Read Works | Yes | Yes | Yes | Yes |
| Modify Works | Yes | Yes | No | Yes |
| Access the Gallery | Yes | Yes | Yes | No |
| Create Screening Rooms | Yes | Yes | Yes | No |
| Invite Guests to Screening Rooms | Yes | No | Yes | No |
| Create a KDM | Creates directly | Requests, a Manager approves | Requests, a Manager approves | No: Guests see the KDM module only when someone sends them a KDM delivery |
| Approve a KDM request | Yes | No | No | No |
A Manager approves, asks for changes to, or rejects each Delivery that a Power Guest prepares. The Power Guest gets a notification of each decision. To learn how KDM requests work, read Request a KDM and Deliver a KDM.
What each role sees in the bottom bar
The bottom bar shows only the pages that your role can use.
| Project type | Role | Pages in the bottom bar |
|---|---|---|
| Production | Manager | Dashboard, Rooms, Boxes, Team, Guests |
| Production | Guest | Dashboard, Rooms, and Boxes when Boxes are enabled for the Guest |
| Archive | Manager | Dashboard, Works, Deliveries, Gallery, Rooms, Team, Guests |
| Archive | Operator | Dashboard, Works, Deliveries, Gallery, Rooms |
| Archive | Power Guest | Dashboard, Works, Deliveries, Gallery, Rooms |
| Archive | Guest | Dashboard, and Works, Rooms or both, depending on the resources the Guest is invited to |
Only Managers see the Project settings (gear icon) and the Usage overview icon in the top bar.
Company roles
Company roles do not depend on a Project. They control who creates Projects and who puts the first Managers in them.
Administrators and the Company Owner can:
- Create, edit and delete Projects for one or more Companies
- Add and remove other Administrators
- Add Managers to Projects and remove them
- Add themselves to Projects and remove themselves
An Administrator opens the Company panel from the user menu.
The Administrator role does not give access to the content of a Project. To work in a Project, an Administrator adds themselves to it, as a Team Member or a Guest. A user can be part of many Projects without being an Administrator.
The Company Owner is the first Administrator. Other Administrators cannot remove the Owner from the Company.
